These terms govern your use of this website only. If a booking is made following your enquiry, the terms of a separate Venue Hire Agreement will govern that relationship. These website terms do not form part of any contract for venue hire.

This website is provided for the purpose of enabling individuals and organisations to make enquiries about hiring or using Mary Sumner House as a venue. It is not intended as a booking platform, and no contract is formed by submitting an enquiry through this website.

This website is intended for use by adults aged 18 and over. By using this website, you confirm that you meet this requirement.

This website is directed primarily at users based in the United Kingdom. If you are accessing this website from outside the UK, you do so at your own risk and are responsible for ensuring that your use of this website complies with the laws applicable in your country or territory. 3.1 Enquiries

Submitting an enquiry through this website does not constitute a booking or reservation and does not create any contractual obligation on either party. We will endeavour to respond to all enquiries promptly, but we do not guarantee availability of the venue. We cannot hold availability pending a response to our reply; if we do not receive a response from you within a reasonable time, your enquiry may lapse, and the dates in question may be offered to other parties.

3.2 When a Contract is Formed

A binding contract for venue hire will only come into existence when all of the following conditions have been met:

• A Venue Hire Agreement has been issued by us and signed by both parties
• Full payment, 48 hours ahead of the proposed meeting date, has been received and processed
• We have issued written confirmation of the booking by email

The terms of any booking, including payment, cancellation, and obligations of the parties, are governed by a venue hire agreement, not by these website terms. A copy of our standard Venue Hire Agreement is available on request by emailing conference@mothersunion.org.

3.3 Accuracy of Enquiry Information

When submitting an enquiry, you agree to provide accurate, complete, and up-to-date information. We reserve the right to decline an enquiry or withdraw from a booking at any stage if information provided is found to be false, misleading, or materially incomplete.

4.0 Acceptable Use of This Website

You agree to use this website only for lawful purposes and in a manner that does not infringe the rights of others. You must not use this website to:

• Submit false, misleading, or fraudulent information
• Transmit any unsolicited or unauthorised advertising or promotional material
• Attempt to gain unauthorised access to any part of the website or its underlying systems

• Any planned photography or filming, whether professional or personal, must be declared at the time of booking and agreed in writing as part of the venue hire agreement
• Event hirers are responsible for obtaining consent from all individuals photographed or filmed at their event, in accordance with applicable data protection law
• Photography or filming of Mary Sumner House staff without their express consent is not permitted
• Any photography or filming intended for commercial use, broadcast, or publication requires separate written authorisation from Mothers’ Union trading as MU Enterprises Ltd

We reserve the right to photograph or film events held at Mary Sumner House for our own records and promotional purposes. Such content may be published on our website, our social media channels, in printed materials, or in other communications produced by Mary Sumner House or Mothers’ Union. Where identifiable individuals appear in such content, we will seek consent in accordance with our Privacy Policy.

By hiring Mary Sumner House, event organisers agree to:

• Take responsibility for the conduct of all attendees while on the premises
• Ensure that appropriate safeguarding arrangements are in place where the event involves children, young people, or adults at risk

• We reserve the right to decline an enquiry or terminate a booking without liability if we reasonably believe that an event would be inconsistent with the values of the organisation or our safeguarding obligations.
